Position Summary
The Service Dispatch Coordinator is responsible for supporting daily service operations by coordinating service requests, scheduling and dispatching field technicians, maintaining service records, and providing administrative support.
This role serves as a central point of communication between customers, field staff, vendors, and internal departments to ensure efficient service delivery and high levels of customer satisfaction.
Key Responsibilities
Service Coordination & Dispatching

Receive, prioritize, and coordinate incoming service requests

Schedule and dispatch field technicians based on urgency, availability, skill set, and location

Monitor technician schedules and make adjustments as necessary to maintain efficiency

Communicate appointment details, service updates, and schedule changes to customers and internal teams
Service Operations Support

Assist with scheduling, service administration, and operational coordination

Support warranty processing, vendor communications, and service documentation

Coordinate service-related activities across departments to ensure smooth workflow
Customer Service

Act as the primary point of contact for customers, vendors, technicians, and internal stakeholders

Respond to service inquiries and coordinate service appointments

Provide timely updates regarding service schedules and work progress
Administrative & Financial Support

Process administrative transactions and data entry within company systems

Support billing activities, invoice processing, and account documentation

Maintain accurate records of service activities, customer accounts, and departmental files
Office Support
- Provide reception and front-office support as needed
Qualifications
Required Qualifications
-
High School Diploma or equivalent (required)
-
Minimum of 3 years of experience in customer service, dispatching, administrative support, bookkeeping, or a related field (required)

Proficiency with Microsoft Office Suite (Excel, Word, Outlook) (required)

Strong organizational and time-management skills

Excellent verbal and written communication abilities
Preferred Qualifications

Associate degree in Business Administration, Operations, Accounting, or a related field

Experience in service-based industries such as construction, HVAC, facilities management, field services, or related environments

Previous experience dispatching field technicians and coordinating service schedules

Knowledge of service management, document management, or
ERP software systems

Experience with bookkeeping, invoicing, billing, or financial processes

Familiarity with service agreements, warranty administration, and
customer billing
